Quick and Easy Guide to using the Phone System (Cisco 7940)
Place a call - for calls on the PPSB network, dial the 4 digit extension. For calls outside of the network, dial "9" for an outside line then dial the number. For long distance, please see your School Principal or Supervisor.
Place a caller on hold
- While on the phone with a caller, press the "hold"button (which will only appear while you are on a call).
- To resume the call press the "resume" button.
Transfer a call (simple)
- While on the phone with a caller, press the "transf" button (you will hear a tone).
- Dial the 4 digit extension of the person you are transferring the call to.
- Press the transfer button again.
Transfer a call (advanced)
To transfer a call while informing the person that you are transferring the call to of who is on the line, do the following:
- While the caller is on the phone, press the "trans" button.
- Dial the 4 digit extension.
- Wait for the person to answer that you are transferring the call to, then answer the phone and inform them of who is on the line.
- Press the "transf" button.
Conference calls
- While on the phone with a caller, press the "more" button.
- Press the "confrn" button, you will hear a dial tone, either dial a 4 digit extension (for phones on the PPSB network) or dial 9 and the phone number (for an outside line).
- Press the "confrn" button again once the person you are trying to conference answers. You can conference in as many callers as you would like by repeating this process.
Forward incoming calls to another extension or outside line
- With the handset on the cradle, press the "CFwdALL" button (the phone will beep twice).
- Dial the 4 digit extension of the phone you would like all calls to be forwarded to (The phone will display "Forwarded to XXXX"). To forward calls to an outside line, instead of dialing the 4 digit extension, dial 9 then the outside number.
- To stop calls from being forwarded press the "CFwdALL" button once.
Park a call
To "park" a call and then pick the call up at a different extension, while still on the phone with a caller, do the following:
Press the "more" button, then press the "park" button. The phone will say "Call Park at (XXXX)". (X = the 4-digit number to dial at the different extension to pick up the parked call.
Checking your voicemail
From your desk:
Press the button labeled "Messages" (with the envelope picture on it). Enter your 4 digit password (if you do not have a password, please call ext. 6382 to receive one). 1st time logging in - follow the automated instructions to setup your user voicemail account. After your account has been set up, you can access your voicemails by following the automated instructions.From home or anywhere outside of the school network:
Dial your direct number (595 + your 4 digit extension). Wait for your voicemail greeting to pick up. When your voicemail greeting is playing, press * The system will prompt you for your ID. Enter your 4 digit extension number. The system will then prompt you for your password. Enter your 4 digit password. Follow the automated instructions to check your voicemail or change your greetings.
